Data Retention Strategy - 7.3.2023

At Tenant Options we make continuous improvements to our system to ensure the safety and security of tenant data and information. We believe this to be a key responsibility for us; particularly given the data breaches that occurred within major Australian companies and agencies in 2022. We take every step we can to ensure that Property Managers and Tenancy Applicants are protected.

As you are aware, Tenant Applications involve the provision of sensitive and personally identifiable information. The shorter the time that information is retained, the less opportunity there is for it to be compromised.

We are proactively reducing the time that sensitive information is held on the Tenant Options system so as to minimise risk to all parties using the system and will be removing application information that is no longer required by Property Managers. This removal of information will be prompted by either of the following triggers:

  • The Applicant deletes their account
  • An Application is more than 30 days old regardless of status e.g Applied, Successful, Unsuccessful or Withdrawn
 

Naturally, essential information for Property Managers will not be redacted and that information includes:

  • Applicant name
  • Property Details
  • Application Submission times
  • Notes

As always, we are keen for Property Manager feedback on our approach and while we are implementing the protection immediately, the redactions will not become permanent until 7th April, 2023.
